Privacy Policy

PDF Form Filler is built around a simple idea: you should be able to fill a PDF without uploading private documents to a website.
1. Who operates this website
PDF Form Filler is a BuildAI.nz project. You can contact us at hello@buildai.nz.
This policy is written for general transparency and is not legal advice. If you have specific legal or compliance requirements, please get independent advice.
2. How the PDF editor works
The editor runs in your web browser using client-side PDF processing code. When you choose a PDF, the browser reads the file locally so you can add text, marks, highlights, whiteout areas, and then save/download an edited copy.
We do not intentionally collect or transmit:
- your original PDF file,
- your edited PDF file,
- PDF filenames,
- text you type into the PDF,
- signatures, form values, annotations, or document contents.
3. What usage information we count
To understand whether the free tool is useful and where it needs improvement, we use privacy-friendly event counting. These events may include:
- homepage viewed,
- PDF app opened,
- PDF opened in the browser,
- PDF saved/downloaded,
- main call-to-action clicked,
- blog call-to-action clicked,
- donation/support link clicked if added later.
These events are designed to be aggregate usage counts. They do not include PDF contents, form text, filenames, or personal document data.
4. Technical information and server logs
Like most websites, our hosting and security providers may process ordinary technical information when your browser requests a page or file. This can include information such as IP address, browser type, device type, requested URL, timestamps, and basic diagnostic/security information.
We use this kind of information for hosting, security, abuse prevention, troubleshooting, performance monitoring, and aggregate analytics.
5. Cookies and local storage
The free PDF editor does not require you to create an account. We do not use cookies to store your PDF contents.
If we add optional features later, such as preferences, Pro features, payments, or saved settings, we may use cookies or local storage for those features and will update this policy where needed.
6. Third-party services
The site may use third-party infrastructure and libraries to operate. Current or likely providers include:
- Cloudflare — hosting, CDN, security, DNS, and basic request/function logs.
- cdnjs / Cloudflare CDN — delivery of PDF processing libraries such as PDF.js and pdf-lib in the current version.
- Email provider / Resend — if you join the optional update list or email us, your email address and message are processed by our email service.
- Stripe or another payment provider — if paid/donation features are added, payment details will be handled by the payment provider, not by the PDF editor itself.
We may self-host PDF libraries in a future version to further strengthen the privacy story.
7. Emails, newsletter signups, and messages you send us
If you join the optional update list, we store your email address, signup source, consent wording, and signup timestamps so we can send product updates and a welcome email. If you contact us by email, we may receive your name, email address, message, and any information you choose to include. Please do not send sensitive documents unless we specifically ask for them and you are comfortable doing so.
8. Payments and donations
The current free PDF editor does not require payment. If we add a donation button, one-off Pro purchase, or business licence later, payment processing will be handled by a payment provider such as Stripe. We do not intend to collect or store full card details ourselves.
9. Data retention
Because PDF files are not uploaded to us, we do not retain copies of your PDFs or completed forms.
Aggregate analytics, technical logs, newsletter signup records, and email enquiries may be retained for as long as reasonably needed for security, troubleshooting, business operations, and legal obligations.
10. Your choices and rights
You can use the PDF filler without creating an account or joining the newsletter. You can also avoid sending optional contact information by not emailing us.
If you have privacy questions or want to request access, correction, or deletion of personal information you believe we hold about you, contact hello@buildai.nz. We will respond as reasonably required under applicable privacy laws, including New Zealand privacy principles where they apply.
11. Children
This website is intended for general business and personal productivity use. It is not specifically directed at children.
12. Changes to this policy
We may update this Privacy Policy as the product changes, especially if we add accounts, payments, Pro features, or additional analytics. The updated date at the top will show when the policy was last changed.
